Privacy Policy

 

As a network based organization, GRI regularly needs to collect personal information from stakeholders through this website and through email or paper based communications. The respect of your privacy is essential to building a trust relationship between GRI and its stakeholders. The following is our policy relative to the protection of your personal data.

 

Information Collection via GRI portal registration

 

In order to access most resources on the GRI website portal (domain www.globalreporting.org) you have to register as a user. Users get access to services like newsletters, Application Level checks, discussion forums, report registration, e-shop purchases, access to specialized information, among other benefits. You are required to give contact information (such as name and email address) and to choose a username and password. We use this information to ensure you receive the requested services, but we do not share this information with third parties or contact you for any reason other than to provide the information or services you requested. Registration is free of charge.

 

Information collection – no fee items

 

Your information will be collected once via the GRI portal registration procedure. You can then use your user name and password to participate in the following free activities:

 

Newsletter - Subscribe/Unsubscribe

If you wish to subscribe to our newsletter, we ask for you contact information such as name and email address. Out of respect for your privacy we provide a way to opt-out of these communications. The newsletter is circulated free of charge, but you must be a registered portal user. Users can manage your subscription.

 

Report Registration

If you have produced a report using the GRI Guidelines and would like to have your report(s) listed in our online database you can register it with us by filling out a short information survey. We will use these details to be in touch with you should we have any questions of clarification on your report or registration form. Other information is collected in the registration form which is typically non-sensitive and/or has likely already been made public by your organization - such as the scope of your report or other tools you may have used. GRI may also use some of the information you provide in aggregate to analyze trends in reporting over time.

 

Public Comments & Stakeholder Feedback

The development of GRI’s Reporting Framework and other products is based on a multi-stakeholder process that regularly solicits feedback and comments from stakeholders. To ensure the necessary transparency of the GRI process, comments & feedback submitted on GRI products are generally considered public record and can be reproduced in part or in total on this website. Upon submission of feedback, you will be asked to provide personal details such as name, occupation and email address. Contact details will not be made public and will be used to contact you if we need to clarify your contribution.

 

Downloads and specialized content

GRI may request your GRI website portal registration username and password before allowing you access to certain resources available for download (PDF documents, podcasts, etc) or before providing access to specialized content developed for registered users only or for users with certain interests or profile.

 

Information collection - Fee-based services

 

Your information will be collected once via the GRI portal registration procedure. You can then use your user name and password to participate in the following fee-based activities:

 

Credit card Transactions

Most products and services can be purchased via GRI’s e-shop using Visa or Mastercard. To ensure the security of your credit card transaction, we use an intermediary, Buckaroo, to process your credit card details through a secured connection. Buckaroo returns the transaction status to GRI (i.e. whether the charge was accepted by the credit card company) and the name of the card holder. GRI does not receive the credit card number. Buckaroo does not retain, share, store or use personally identifiable information for any secondary purposes.

 

Order products and services in the e-shop

To order copies of the GRI Guidelines, and other products and services, you must provide contact information (such as name, email, and shipping address) by registering as a portal user, and financial information (such as credit card number, expiration date). This information is used for billing purposes and to ship orders. If we have trouble processing your order, the information is used to contact you. Visit the e-shop.

 

Organizational Stakeholder (OS) Registration

To register as an OS, you must provide contact information (such as name, email, and address) and financial information (such as credit card number). This information is used for billing purposes and to inform you about GRI activities.

Application Level Checks

If your organization has produced a report based on the G3 Guidelines you must self-declare the level to which the Guidelines were applied. You can optionally request that GRI check your self-declared level. Upon conclusion of the analysis GRI will provide a logo for use in the report. For this purpose we may collect personal information (via portal registration) and financial information (via e-shop), and report information. These will be used to provide the Application Level Check service only and will not be shared with third parties. More on Application Levels.

 

Event registration forms

Upon registration for a GRI event, you are asked to provide contact information (such as name, email, and shipping address). If there are costs related to the event, we may request financial information (such as credit card number, expiration date) for billing purposes. Contact details will be used to inform you about the events details. To facilitate networking at GRI events, we may distribute the list of registrations to the participants. In such cases, we will ask for your authorisation on the registration form or via subsequent communications.

 

Matchmaker Registration

The purpose of this program is to match companies that have prepared sustainability reports with universities that can deliver rigorous feedback to GRI reporters. Upon registration, you are asked to submit contact details as well as your preferences related to the program. Names of organizations and preferences will be shared with other candidates in order to make the match. Names of contact persons and contact details will be disclosed upon a successful match, agreed by both parties. This is a service offered exclusively to OS.

 

Updating/Deleting Personal Information

You can update or change your personal details or request for removal from our database by using your GRI website portal login account.

 

Cookies, Log files and Links

 

Cookies

A cookie is a piece of data stored on your computer tied to information about you. There are two sorts of cookies: a session ID cookie is temporary and terminates once you close your browser. A persistent cookie is a small text file stored on your hard drive for an extended period of time. It can be removed by following the Internet browser help file directions.

This website uses session ID cookies and a persistent cookie. Session ID cookies are used in registration forms, quizzes and surveys and to access password protected areas such as the forum or the OS pages. The persistent cookie is used to identify your preference for text or graphic view of our website.

 

Log Files

Like most standard website servers, this one uses log files. These files contain information such as internet protocol (IP) addresses, browser type, internet service provider (ISP), referring/exit pages, platform type, date/time stamp, and number of clicks. This data is not linked to any personally identifiable information. It is used to produce statistical reports to monitor the website and analyse trends.
